A statement such as ‘we have 100 guests’ is not a beauty budget. The working number is the total of confirmed services across every event, plus the operational requirements needed to deliver them.
Count the service appointments
Give every person one row per requested service. Someone booking hair and make-up creates two appointments; adding saree draping creates a third. Repeat the count for each function rather than carrying one total across the weekend.

Separate bride and wedding-party budgets
Bridal dressing, trials, ceremony details and couple services are planned separately from occasion services for guests. Keeping the two budgets distinct prevents a large group estimate from obscuring the bride’s requirements.
Add operational costs
A venue service may include more than the service price. Ask about travel, transport, accommodation, early starts, consecutive days, room setup, meals and requested touch-up coverage. The exact additions depend on the brief and must be confirmed.
Create a base, likely and maximum scenario
The base scenario contains essential services for priority people. The likely scenario adds the guests expected to opt in. The maximum scenario shows the ceiling if every invited participant accepts. This helps the host decide the response limit before the booking form is circulated.
Freeze the count in stages
Use an interest count for initial feasibility, a provisional named list for planning and a final approved list for scheduling. Explain when reductions, substitutions or late additions may no longer be possible.
