A destination wedding beauty plan is easier when the entire wedding party is organised before anyone travels. This checklist helps a bride, family member or planner turn a long guest list into a clear brief for hair, make-up, saree draping and grooming in Sri Lanka.
1. Build the event list first
List every celebration that may require professional preparation. An Indian destination wedding may include a welcome event, mehendi, haldi, sangeet, ceremony, reception or another family celebration, but not every guest needs a professional service for every event.
For each event, record the venue, event start time, photography start time and the time the group must be completely ready. The ready time—not the ceremony time—is the deadline the beauty schedule must work backwards from.

2. Create one row for every person
Avoid estimating the group as ‘about twenty ladies’. Write each person’s name and select the services she or he may require. This prevents duplicate bookings, missing family members and last-minute changes to the team size.

3. Separate essential services from optional services
Ask each person to choose an essential service and, where helpful, an optional service. This allows the family or planner to protect the most important appointments if the available preparation window is shorter than expected.

- Not required: a service that should not be included in the quotation
4. Collect the practical details
The same guest count can require a very different plan depending on the outfits, hair lengths, requested styles and number of functions. Collect the practical information before asking for a team recommendation.
- Outfit type, including saree or other draping requirements
- Hair length and any extensions or hair pieces
- Simple, polished or more detailed styling preference
- Skin or product sensitivities that should be discussed
- Mobility, accessibility or privacy requirements
- Whether children are included in the schedule
5. Confirm the preparation space with the venue
A large group needs more than a hotel bedroom mirror. Ask the hotel or planner about tables, chairs, lighting, electrical access, ventilation, drinking water and the time the room becomes available.
Keep clothing, luggage, food deliveries and visitors away from the main preparation stations where possible. A clear room helps the group move through appointments with less interruption.
6. Pack one shared wedding-party kit
Each guest should bring personal items, but one labelled group kit can reduce repeated requests during a busy morning.
- Blouse, saree or outfit pieces together in one labelled bag
- Jewellery, hair accessories, flowers and veil or dupatta
- Personal foundation or lip product if specifically preferred
- Contact lenses, medication and other personal essentials

7. Send one clean brief
Choose one coordinator to send the final event list, participant list and ready times. A single approved version is easier to price and schedule than separate messages from individual guests.
